At FM Hotel Varanasi, we understand that plans can change. Our cancellation policy is designed to be fair and transparent for all our guests. This policy applies to all bookings made directly through our website, phone, or email.

Key Principle: The closer your cancellation is to the check-in date/time, the higher the cancellation charges. We recommend cancelling as early as possible to minimize charges.

All cancellation requests must be submitted in writing via email or through our booking portal. Phone cancellations must be followed up with written confirmation.

Our standard hotel cancellation policy applies to all room bookings:

Less than 24 Hours / No Show

No Refund

Last-minute cancellations and no-shows result in full forfeiture of the booking amount.

Peak Season Note: During festival seasons (Diwali, Christmas, New Year) and special events, cancellation period is 7 days instead of 3 days.

Tour & Package Cancellations

Tour packages have specific cancellation policies due to advance arrangements:

  • Day Tours: Cancel 24+ hours before - Full refund | Less than 24 hours - 50% charges
  • Multi-day Packages: Cancel 7+ days before - Full refund | 3-7 days - 30% charges | Less than 3 days - No refund

  • Custom Tours: Cancel 10+ days before - Full refund | 5-10 days - Planning fee applies | Less than 5 days - No refund
  • Guided Experiences: Cancel 48+ hours before - Full refund | 24-48 hours - Guide charges apply | Less than 24 hours - No refund
Important: For tours involving third-party vendors, their cancellation policies may apply in addition to ours.

Cab & Transportation Services

Our transportation cancellation policy varies based on service type:

  • Cancellation 30+ days before: Full refund minus processing fee
  • Cancellation 15-30 days before: 50% of total amount refunded
  • Cancellation 7-15 days before: 25% of total amount refunded
  • Cancellation less than 7 days: No refund, full amount forfeited
  • Reduction in group size: Treated as partial cancellation
  • Corporate contracts: Separate cancellation terms may apply
Non-Refundable Deposits: All group bookings require a non-refundable deposit of 25% at time of booking.

We understand that sometimes circumstances are beyond your control:

  • Medical Emergencies: Full refund with valid medical certificate (within 7 days of cancellation)
  • Flight Cancellations: Full refund with airline cancellation proof
  • Natural Disasters: Full refund or credit for future stay
  • Government Restrictions: Full refund or date modification
  • Bereavement: Full refund with appropriate documentation
Documentation Required: For special circumstance cancellations, please provide relevant documentation within 48 hours of cancellation request.

In all cases, we reserve the right to offer future stay credit instead of monetary refund, especially for last-minute cancellations due to emergencies.

  • Credit Card Refunds: 7-10 working days (depends on bank)
  • Bank Transfer: 3-5 working days
  • UPI Refunds: 24-48 hours
  • Cash Payments: Refund via bank transfer only
  • Foreign Currency: Refunded at current exchange rate
Important: Refunds are processed to the original payment method used during booking. Third-party payment processor fees may be deducted from refund amount.
